How do I customize the emails my customers receive?

Three settings pages split this cleanly: Emails & Customer Portal decides where email comes from and where your quote pages live; the Message Centre decides what emails say; Branding decides what they look like. This guide covers the first — your own domain.

  1. Add your domain

    On Settings → Customize → Emails & Portal (owners and admins only), enter a domain you own — snowpros.ca, say. One domain per business; everything below unlocks once it’s added.

  2. Set your sender identity and enable email

    From name, From email (it has to be on your domain — hello@snowpros.ca), and an optional Reply-to. Enable email sending, and your quotes and notifications will go out as your business once the domain verifies.

  3. Publish the DNS records at your registrar

    The DNS records section lists each record as a card with a Host and a Value and a copy button — paste them into your registrar exactly. You’ll also see a DMARC suggestion, with a recommended enforcing record once you’re ready. Then hit Verify: verification is asynchronous and can take a minute or so, so “unverified” right after publishing usually just means DNS hasn’t propagated — wait and verify again.

  4. If your domain is already registered elsewhere

    Domains previously used with another email provider team trigger the claim flow: you publish one TXT proof record, and the current holder approves the transfer on their side. Claiming doesn’t interrupt them until the transfer completes, and your DNS stays under your control the whole time. The claim has a deadline shown on screen — Check claim once both steps are done, and the normal DNS setup continues automatically.

  5. Host your portal on your own subdomain

    The Portal section takes a host like customers.snowpros.ca and gives you one CNAME to publish. Once it verifies (the badge walks through awaiting DNS → issuing certificate → verified), your quote pages and customer sign-in are served from your domain — customers never leave your brand.

  6. Wording and looks live next door

    What the emails say is the Message Centre’s job — see “How does the message centre work?”. Colours and logo across portal, quotes, and emails come from Branding — see “How do I customize my customer portal branding?”.

Removing the domain later detaches everything cleanly — the DNS records you published at your registrar are never touched.
